The Client: One of the country’s premier full-service providers of comprehensive facilities management and building services

The Situation: The client had been in the implementation phase of their project for nearly one year.

The Challenge: The company is comprised of eight different entities with an independent Accounts Payable department and separate system for each. The company needed staffing augmentation in the areas of Functional Leads, especially those with accounting expertise, and experienced resources for testing and audit rule configuration. End User and System Administration Training was also a daunting concern.

The BEW Solution: BEW was engaged to manage and facilitate the project. In that role, we
  • ensured that the extract translation for the eight independent AP systems was fully operational prior to launch
  • provided the decision process needed to set up daily Meal, Hotel and Car Rental limits per location. This included reconfiguration of system audit rules to satisfy compliance regulations
  • provided testing support to ensure that all systems were operational and all configurations were correct, so that imports and extracts could be loaded without error
  • documented all system change and training for all System Administrators and End Users, which included development of training materials

The Outcome: BEW engaged this client in June, and by July 31—less than two months later—all business units were live on the new system.

The Client: The world’s largest provider of cash transfer services for individuals and businesses around the globe

The Situation: The company was spinning off from its parent organization.

The Challenge: They were faced with a severely compressed time line for implementation of Travel and Expense software. In addition, several projects had to be executed simultaneously in order to relieve their dependency on First Data Accounts Payable Systems, Payroll Systems, etc.

The Solution: BEW was engaged as the Client Project Manager. In that role, we:
  • provided Project Management support services
  • provided Documentation for all new systems
  • developed Programs and Materials for End User training

The Outcome: End users were fully trained by deployment date. The elimination of the company’s dependency on its parent organization’s systems was accomplished within 8 weeks.

The Client: A large telecommunications company

The Situation: The company was switching to a different Travel and Expense platform.

The Challenge: The company was in need staff augmentation for the migration.

The Solution: BEW was engaged as Client Project Manager. In that role, we:
  • took control of the Project Management function
  • provided technical resources and expertise to migrate the data the new platform
  • guided the client to implement a more full featured, customizable solution
  • provided data cleansing for a one-time employee load file then synchronized it with the new application in order to prevent login errors
  • provided an AMEX remittance file and performed production file uploads until the new system was fully operational

The Outcome: BEW began the engagement in late June. The client was fully deployed by August 16th. BEW continues its relationship with the company today in order to ensure that international rollouts are successful for their EMEA region and ASIAPAC region.

The Client: A leading multimedia company headquartered in Europe

The Situation: The company needed audit services, help desk services, and ongoing system administration services.

The Challenge: A technologically capable and reliable ongoing resource was needed.

The Solution: BEW was engaged as part of the implementation team. In that role, we:
  • provided consulting services during implementation
  • assisted with system configuration, requirements gathering, audit rule creation and testing support
  • developed testing scripts and, in its role as de facto Functional Lead, tested the system and recommended changes prior to launch
  • provided end user web training and technical documentation

The Outcome: The company began their implementation in November and were live by February. BEW is engaged for the company’s Canadian launch in 2009 and will be assisting with their migration to the new Travel and Expense platform.

The Client: A global manufacturing company

The Situation: The company wanted to implement new Travel and Expense software.

The Challenge: They lacked internal resources, and implementation had stalled. They had received a proposal from a major integration services provider which would have extended rollout to nearly one year and would have cost $693,000.

The Solution: BEW was engaged to provide Project Management Services. In that role, we:
  • assisted their team in reviewing and completing the data gathering prior to the kick-off meeting
  • provided change management consulting and end user training
  • designed Report Net reports for the client, contingent on meeting the planned “go live” date

The Outcome: BEW began its engagement in July 2008. On September 16th, less than three months later, the client went live on the new Travel Expense software.

The Client: One of the world’s largest global risk management and insurance brokerage firms

The Situation: BEW was initially engaged to provide End User Help Desk support and End User Training.

The Challenge: During implementation, the company determined that they needed additional staffing resources for testing support and approval of documentation.

The Solution: BEW was engaged to execute that phase of implementation. In that role, we:
  • developed extensive testing scripts and assisted with extract testing and UAT testing
  • documented test results

The Outcome: The testing and documentation passed Sarbanes-Oxley compliance review.
